Kirklees Council hold personal information about our participants, with their consent, including names, email addresses, telephone numbers, organisation names, stories, photographs, videos and audio recordings. We use this information to help more people come together to make local places better and to keep our citizens, partners and others informed about democracy in Kirklees.
Working in the open
We believe in working in the open as much as possible, so that more people have the opportunity to learn from each other and to be involved. We publish stories from our citizens online and we retain these so that everyone can learn what helps people to get involved in their local place. This is part of Kirklees Council’s commitment to our Shaped by People shared goal, which was created by local citizens. We will ask you to confirm your consent ahead of publication.
We often share our events and activities live online for the same reasons. We always let our participants know in advance that we’re doing this, and you always have the option of not being seen in photos and videos.
You can contact us at any point and ask us not to use your content for any new purposes. Remember that once information is published and in circulation (especially online) it may be copied and used by others. If you ask us not to use your information in the future, we will do our best to stop others using it too, but we can’t guarantee this.
We sometimes record our online meetings so that we can share these with people who couldn’t be there on the day. We will never record a meeting you’re taking part in, or share the recording with others, without your consent.
Keeping in touch
We encourage participants to Join our email list, so that we can let you know about stories, events, activities and projects that you might be interested in. We collect only the information that we need (your name, email address, optional organisation name and local area, and your email preferences).
We never share your personal information with other organisations, and we only use your contact details to tell you about local democracy and how to get involved in shaping your local place. Each email bulletin we send you includes an option for you to update your preferences, or to unsubscribe.
Where your data is stored
We make sure your personal information is stored securely. We use trusted tools to process your data and to communicate with you. The tools we currently use are: Typeform (for you to tell us how you feel about getting involved, share your story or request a conversation pack) and Mailchimp (email bulletin software).
Please be aware that your data may be transferred outside of Europe, in compliance with the EU-US Data Privacy Framework. You can learn more about how our international providers store and process data on these webpages:

Data that we retain (so that we can continue to learn from what you’ve told us) is stored by Kirklees Council on our secure servers.
